BMW - VIP Fleet Management
The VIP Fleet Management supports the employees of the department in the efficient and smooth planning and control of the BMW VIP Driving Service.
Project goals
As one of the largest German car manufacturers, BMW operates a VIP chauffeur service for internal and external guests at high-quality and prestigious events, such as security conferences. Various fleets are used for more than 800 events a year and the department has a high coordination and planning effort for the organisation. A smooth and flawless process during the events is of great importance for the high-ranking VIP guests of the chauffeur service.
As the IT system used for planning at the time was at high risk of failure, it no longer met BMW standards. In order for driver and vehicle deployments of the VIP fleet to be planned and controlled smoothly and efficiently, the car manufacturer needed a new, up-to-date and also sustainable IT solution. This had to comply with the internal guidelines of the BMW Group as well as the legal requirements.
Customer benefits
The employees of the driving service come from a wide variety of backgrounds, so it is important that the IT system can be used flexibly. It must be operable on all end devices. While the dispatchers work from their desktop workstation, the fleet drivers have to be able to access all the information they need from their smartphone while on the road. The responsive design of the VIP Fleet Management developed by 4Soft ensures this in an optimal way. In addition, the system is intuitive and user-friendly for users. According to the user group, the users have different authorisations on the platform. For example, the dispatcher is provided with full access to all functions and details, while the drivers usually only have read access or can perform small actions.
In addition, the VIP fleet management system offers fast and targeted collaboration. Thus, it is possible for users to actively initiate direct communication (via e-mail), to which the recipient can easily respond. Furthermore, the user has full transparency at all times to view all relevant and current data.
Our contribution
For the realisation of the project, BMW chose the cplace system from collaboration Factory AG as a basis. It offers an ideal basis for planning and collaboration systems and already contains many usable basic components, for example for planning with the help of Gantt and table displays.
The IT experts from 4Soft analysed and completed the requirements for the new system in close cooperation with the BMW project team. Based on this, the project team designed a solution approach and implemented it agilely on the basis of cplace. In addition, 4Soft developed a view for the mobile devices. This is particularly necessary for the drivers of the BMW VIP fleet. As a full-service provider, the employees of 4Soft also support the preparation of user training.
